
Freelance Part Time Bookkeeper Job Vacancy

A key member of the management committee and reporting to the Festival Director, the festival Bookkeeper plays the crucial role of managing, monitoring and reporting on the financial health of the charity to the Board of Trustees.
Broadway Arts Festival is a registered charity and has grown substantially over the last 7 years, with Arts lovers travelling from across the UK and abroad to attend. The main 10 day festival comprises of approximately 80 events every other year in June, plus approximately 25 events spread throughout each interim year.
Once the costs of running the festival and events have been covered, remaining income funds our bursary programme supporting local university students pursuing careers in the Arts and our schools outreach programme supporting 6 local primary and secondary schools with funded arts activities.
Role & Responsibilities:
- Managing and tracking all income and expenditure using Sage accounting software. Monitoring emails on a daily basis. Provision of cash floats for events.
- Preparing and issuing all invoices and processing all payments to performers, suppliers, venues, contractors, etc in a timely manner. Contacting debtors for payment. Recording all transactions on Sage accounting software. Filing contracts and corresponding invoices.
- Analysing sales reports from the online Box Office and allocating to appropriate department on Sage and line item in the budget.
- As an active member of the Management Committee, attending team meetings (normally quarterly but monthly for the 6 months in the lead up to a main festival)
- Reconciling the bank account and updating the budget with actual figures on a monthly basis
- Managing monthly payroll, submitting the data to HMRC and uploading the pension information (1 employee).
- Preparing financial reports and managing the budget tracking in readiness for quarterly trustee meetings and year end reporting. Presenting an update on the financials at each trustee meeting. Liaising with the accountant for the annual accounts to be prepared.
Required knowledge, skills and experience:
- Broad financial knowledge and 5+ years of financial management experience with charities and/or small businesses
- Accurate data entry, invoice processing, bank reconciliation, cash flow management, accounts payable/receivable knowledge and experience with exceptional attention to detail
- Knowledge and experience of Gift Aid and charity accounts compliance
- Strong Excel skills, extensive experience with Sage Accounting software, Microsoft Word, email, etc.
- Preparation of detailed financial reports with the ability to analyse and identify trends and make suggestions to address any financial concerns
- Professional, accurate, confident and clear written and verbal communication.
- Ability to effectively prioritise tasks during busy periods.
- An interest in the Arts and knowledge of the festival will be advantageous for those applying.
Education/Qualifications:
- O Level or GCSE Maths and English (Grade C/7+)
- Level 2 or 3 AAT desirable or proven relevant experience and knowledge
Time Commitment:
This part-time freelance role has peaks and troughs in workload that mirror the activities of the festival, not a set number of hours each month/week.
- During a festival year approximately 270 hours in total, with peak workload months being January, March, April, June, July & October.
- During the interim year approximately 200 hours in total, with peak workload months being January, June & October.
- Quarterly in person team meetings in Broadway (lasting 2 hours) which become monthly meetings in the 6 months leading up to a festival.
Location:
The charity does not have an office and all team members work from home 100% of the time.
Start date:
March/April 2026, to include a handover with the current bookkeeper starting in March.
